Event Information

WHEN DO GATES OPEN?

Gates open at 5:00pm on Friday, and at 1:00pm on Saturday.

I'm under 16 years of age, can I come to Vanfest?

No, Vanfest is a licensed event for 16 years and older.

What kind of ID will I need to bring to VANFEST?

Guests will need one of the below forms of identification to enter VANFEST and have on your person during the entirety of the event:

  • Current valid Australian driver’s license with photo
  • Current passport
  • Government issues proof of age card
  • International drivers license with photo.

What Not to Bring With You

The following items are banned at Vanfest:

  • NO alcohol, drugs or other illegal substances
  • NO pets
  • NO laser pointers
  • NO glass, cans, cups or coolers
  • NO markers pens or spray paint
  • NO large purses, bags or backpacks
  • NO food or beverages
  • NO weapons of any kind (includes pocket knives, pepper spray, fireworks)
  • NO professional photo, video or audio recording equipment (defined by detachable lens)
  • NO umbrellas (bring a poncho instead!)
  • NO bikes or skateboards

If you have special medication that needs to be brought on site, please ensure you have a prescription from your doctor with you.

Vanfest has a zero tolerance policy regarding the use of illicit substances. Police will be present at the event, so to ensure you don’t miss out on any of the fun, don’t bring anything illegal. If you are in possession of drugs, you will be denied access to the event and you will be handed over to the authorities without refund.

Are there pass outs

No, the only people who will be allowed to leave the festival and re-enter are campers.

Can you buy tickets on the day?

Yes, a limited number of tickets will be available for purchase at the box office.

WILL THERE BE FOOD / DRINK FACILITIES?

There will be variation of food vendors to suit all tastes along with a number of bars serving various alcoholic and non-alcoholic beverages

Do you have wheelchair access?

Yes, there is access to disabled sanitary facilities and viewing areas

Is there a first aid facility?

Yes, emergency and first aid will be provided for the entire duration of the event.

GETTING THERE

How far away is Forbes Showground from Town Centre?

Is there a shuttle from Forbes to Showgrounds?

Yes, there will be an in-town shuttle travelling back and forth from the town centre to VANFEST.

Will there be any taxis?

Yes, taxis will be available over the weekend. Keep in mind there will be very limited supply. Call 131 008 for bookings.

Can I drive to VANFEST?

Absolutely. We offer on ground parking, as well as plenty of street parking around town. Vehicle campsites are also available, check out our camping page

Camping

What time can I arrive to set up?

You can arrive anytime after 11am on Friday 1st December morning to set up and from 9am on Saturday 2nd December morning.

What time do we have to leave campgrounds by?

Campgrounds will be closing midday on Sunday 3rd December

Can I pick my camping spot?

Depending on which camping option you purchase. Everyone will get allocated a camping spot except if you choose Freestyle Camping, which you can choose anywhere. You can request to be placed next to a friend by simply filling in the Additional Request form with their Full Name and/or a designated group name of your choice, when checking out.

Can I bring my own food /drink?

You are welcome to bring your own food and drink. Keep in mind the campgrounds are an alcohol free zone.

Is there power?

Yes, there are powered sites available, check out the Lights-On Camp sites

Is there a lock out of campgrounds each night?

No, you are able to come and go as you please with your camping wristband.

Are there shower facilities available?

Yes, there will be toilet and shower facilities available throughout the campgrounds

Can I buy food / drink outside festival hours?

Yes, food and drink will be available 24hrs in the campgrounds

Will there be security at the campgrounds?

Yes, there will be 24hr security watch within the campgrounds. You can also purchase padlocks for your tents.

Where can I park my car?

Some of the camping options allow you to park beside your campsite, otherwise designated parking is provided for all campers for a small fee. Details are on the Getting Here page.

Wristbands at the event?

You will be issued with a camping wristband when you get your ticket scanned at the camping check-in. There are no replacements for lost wristbands. Wristbands will not be replaced and cannot be transferred to friends.

Do I need to provide the names of everyone in my Pre-pitched tent/Glamping tent/powered/non-powered site?

Yes. To ensure the validity of the ticket, we require all names of guests to be on your ticket. At the event, security will check to ensure your name on your ID matches the name on your ticket.

What if I don't have all my guests' names confirmed yet?

You can still purchase the tent/site/package, simply input your name for every unconfirmed guest and you may change the name on the tickets for free by contacting [email protected]

Will there be pass-outs of the festival?

Only campers with a valid wristband will be granted pass-outs from the festival. A genuine valid reason for exiting the festival will be asked upon exit

Can I move my car once parked?

If you have parked in the general carpark you can come and go as you please. If you have your vehicle in your campsite, it must stay stationary until the end of the festival when you packup and leave. This is for the safety of all campers. Details are on the Getting Here page.

VANFEST IS A CASHLESS EVENT

Vanfest will operate a digital currency for the 2017 event to ensure speed of service, increased security and ease of transactions at the many Bars, Food Outlets and Vendor Stalls. Most importantly, there will be reduced need to wait in lines, and no need to count out coins for a beer as your friends get thirsty for your round!

When you arrive at the festival, your ticket will be swapped for a wristband which must remain on your wrist for the duration of the event. This wristband will act as your ‘digital wallet’ within the Vanfest ground, as well as your ticket for Day 2 if you have purchased a weekend pass. You must not remove the wristband overnight or your ticket will become void.

After entering the festival, you will be able to load currency onto your wristband using either cash, debit or credit card at one of our top-up tents, or via a roaming top-up operator. A one-off activation fee of $3.00 will be charged to you the first time you add funds to your wristband.

All food, drinks and merchandise purchased at Vanfest will need to be paid for using the simple, tap-and-go wristbands.

CAN I USE CASH TO PAY FOR FOOD AND DRINKS IF I HAVEN’T LOADED ANYTHING TO MY WRISTBAND?

Vanfest 2017 is a ‘cashless’ festival. In other words, to buy food, drinks or merchandise at the event you will need to use funds that have been loaded to your tap-and-go wristband. Cash WILL NOT be accepted by vendors at the event.

WHAT IS A ‘CASHLESS FESTIVAL’? HOW DOES IT WORK AT THE EVENT?

When you arrive at Vanfest, your ticket will be scanned and swapped for a wristband at the front gate. If you have purchased a 2 day ticket, this wristband needs to remain on your wrist for duration of the event as it will act as your ticket for Day 2 (Saturday).

Once inside the event, you will be able to purchase currency to load onto your wristband using exact cash or credit/debit card. Look out for one of our top-up tents or friendly top-up staff who can help you do this.

Once you have loaded currency onto your wristband you can visit any of the food, drink or merchandise vendors on-site. Let them know what you would like to purchase and they will scan your wristband in order to deduct the correct amount – and then it’s time to enjoy your purchase!

HOW MUCH SHOULD I LOAD ONTO MY WRISTBAND?

We would recommend loading a minimum of $50.00 to your wristband at initial top-up in order to maximise your experience at Vanfest.

HOW DO I KNOW HOW MUCH I HAVE LEFT ON MY WRISTBAND?

You can simply ask any vendor or top-up staff member to scan your wristband to see how much credit you have remaining. After each transaction, the vendor will also show you the balance you have remaining.

IS THERE A COST TO ME?

In order to make use of the awesome benefits that cashless provides (mainly shorter wait times at the bar for you!), a one-time activation fee of $3.00 will be deducted from your initial top-up.

So if you add $100 to your wristband the first time you top-up, you’ll have $97.00 left to spend. Each consecutive time you add funds to your wristband, 100% of the funds you add will be yours to spend at the bar!

Please also note that all card transactions will also incur a 1% surcharge.

WHAT ABOUT IF I DON’T SPEND EVERYTHING ON MY WRISTBAND? CAN I GET A REFUND ON WHAT’S LEFT OVER?

Yes you can! Make sure you hold onto your wristband after the event and head to the Vanfest website between Tuesday 5th December 10am – Monday 11th December 11am to claim your refund.

You will be required to create an account using your name, email address and phone number, as well as the RFID number printed on the back of your wristband. Once logged in, you will be able to access the CLAIM REFUND section where you can enter your banking details (BSB and account number).

Your refund will be processed back into your bank account within 14 working days.

Please note, if you have less than $5.00 remaining on your wristband, this refund is unable to be processed.
